SECRETARY TO THE SCHOOL BOARD
JOB DESCRIPTION:
The Secretary to the School Board provides administrative and clerical support to the School Board and its members. The Secretary is responsible for maintaining accurate records, preparing agendas and minutes for board meetings, and ensuring that all board-related documentation is properly managed and follow-up. This position requires a high level of organization, attention to detail, confidentiality, and the ability to communicate effectively with board members, school staff and all the related stakeholders as well as, occasionally, the public.
DUTIES AND RESPONSIBILITIES:
Domain I - Arrange and schedule the Board Meetings
Coordinate and schedule board meetings, workshops, and special events.
Prepare and distribute meeting agendas, supporting documents, and school community notices in accordance with legal requirements and board policies.
Attend all school board meetings and record minutes, ensuring they are accurate, clear, and concise.
Distribute minutes to board members and ensure they are available for review in a timely manner.
Documentation and Record-Keeping. Maintain and organize all official board documents, including meeting minutes, resolutions, policies, and correspondence.
Domain II - Communication and Coordination
Serve as the primary point of contact between the School Board and other stakeholders, including school district staff, parents, and the community.
Respond to inquiries and requests for information from board members, staff, and the
public in a professional and timely manner.
Prepare and disseminate official correspondence on behalf of the School Board.
Assist board members with travel arrangements, meeting logistics, and other administrative tasks as needed.
Maintain the board's calendar and ensure that all members are informed of upcoming meetings and events.
Domain III - Confidentiality, Ethics and Compliance:
Handle sensitive and confidential information with discretion and in accordance with legal and ethical standards.
Ensure all communications and actions are conducted in a manner that upholds the integrity and reputation of the School Board.
Provide administrative support to individual board members as requested, including preparing reports, conducting research, and assisting with correspondence.
Assist with the orientation of new board members and ensure they have access to necessary resources and information.
Ensure that all board actions and decisions are documented and communicated in compliance with district policies and applicable laws.
Stay informed about changes in state and federal laws that may affect board operations and ensure the board is compliant.
Other duties and responsibilities
Participate in school events and activities. Provide support to the school’s projects and initiatives, as needed.
Provide children supervision during supervising scheduled or when requested

Compensation: Depending on qualifications and experience
